YOUR ONE-PAGE DATA RULE From "AI for Your Business — Basics", chapter 5 ================================================================ The rule your whole team follows, so AI stays a help and never becomes the thing that costs you a fine or a customer. Keep it short enough that people actually read it. Fill it in, then sit the team down, read it out, and have everyone who touches these tools -- you included -- put their name to it. ⚠️ Not legal advice. For anything tricky, ask a professional. This is UK data- protection law (UK GDPR) in plain English; elsewhere the shape is similar, but check your own. 1 - WHAT WE MAY PUT IN (your lower-risk list) ---------------------------------------------------------------- Public and yours (website copy, published prices, marketing); your own drafts; real examples with names and identifying details removed -- removed enough that no one could be worked out; general "how do I..." questions with no private data in them. ______________________________________________________________ ______________________________________________________________ 2 - WHAT WE NEVER PUT IN ---------------------------------------------------------------- [ ] Customer or staff personal details, unless it's our approved business tool AND we have a lawful reason [ ] Card, bank or account numbers [ ] Anything sensitive: health, ethnicity, religion, sexuality (the "special-category" list) [ ] Passwords, keys, logins [ ] Anything under a confidentiality agreement, or a live legal matter [ ] Employee records, complaints, anything about children or safeguarding [ ] Trade secrets -- the recipe, the supplier list, the thing a competitor would love to see [ ] ________________________________________ (your own additions) 3 - WHICH ACCOUNT WE USE FOR REAL WORK ---------------------------------------------------------------- Approved business tool (a seat per person, never a shared login): ____________ [ ] The admin has ACCEPTED the vendor's data-processing terms in the settings [ ] "Train on our data" is turned OFF [ ] It covers our data leaving the UK (most tools process it abroad) (A business plan is the right FOUNDATION -- not a certificate that says you're compliant. It only helps once these three are actually done; a seat you bought but never set up is not a shield. You still need a lawful reason to use personal data, and for anything involving real personal data at scale, get proper advice.) 4 - WHO OWNS THIS ---------------------------------------------------------------- Named person responsible for the rule and the settings: ______________________ 5 - IF SOMETHING SLIPS IN BY ACCIDENT ---------------------------------------------------------------- Because one day it will. The plan, in one line: Delete it, and tell ______________________ straight away. Then we decide together whether anyone needs telling. Panic helps no one; a quick, honest flag does. 6 - REVIEW DATE (the tools keep changing) ---------------------------------------------------------------- Next review: ______________________ WE'VE READ THIS AND WE'LL FOLLOW IT ---------------------------------------------------------------- Name ____________________ Name ____________________ Name ____________________ Name ____________________ Owner ___________________ Date ____________________ ================================================================ From AI for Your Business - Basics, chapter 5.
